SMART Project Management was engaged to complete the survey of buildings and facilities, plus creating an inventory of fixtures, fittings & equipment in the remote Pacific Islands region. The scope of works was to efficiently identify immediate workplace health and safety hazards that required immediate repair this data was required in real-time to ensure the safe operation of the facilities could be maintained, identified defects were required to be catalogued with photographic evidence this provided a baseline of the current standard of the facilities the data needed to be captured in a manner that allowed the repair requirements to be estimated.

These facilities included:

  • Accommodation 

  • Administration 

  • Medical 

  • Industrial kitchens 

  • Services including wastewater treatment & freshwater production 

  • Fleet vehicles 

  • Civil construction machinery including Cranes 

There were multiple challenges to overcome to efficiently collect the required data along with the supply of the information for review:

  • There was no cellphone reception at the sites, only WiFi back at base.

  • Remote location 

  • Budget restrictions 

SMART PM designed a system and procedure that meant these surveys could be completed on the ground the data could then be uploaded to the cloud back at based application enabling data review, modelling, estimating, to be completed in the office in Christchurch.

Using on-site team members to gather data

SMART PM equips team members on the ground with iPads, loaded with a surveying app. We customise this to meet data requirements and can adapt what we gather on the ground in real-time to ensure the client deliverable are met. Data is uploaded over cellular or WiFi connection, back to our digital project team based in Christchurch.

Data is collected in a multitude of options to provide an up to date snapshot of the current condition of the asset. 360 degree GoPro cameras to capture full-room imagery and tag it against the correct asset this can be broken down to area or room-specific requirements, as well as other images captured on iPads and phones.

The app can be configured to collect many types of data including:

  • Survey questions

  • Photos

  • Videos

  • GPS co-ordinates

  • Signatures

Step 2: Organise

Our REVIEW and organise the data

The SMART PM team monitored live data coming in to ensure it is accurate. We then organised the data so it could be easily understood and searched.

Data was then available in:

  • Excel file 

  • PDF check sheets 

  • Cloud database app

SMART PM managed the whole system and procedure design, team coordination and data collection, data-cleaning and organisation, and data analysis from end-to-end completely remotely.

The data can be utilised for multiple applications:

  • Identifying the current condition of an asset 

  • Identifying cost to repair/maintain an asset 

  • Identifying any immediate workplace health & safety hazards 

  • Auditing current maintenance contractors 

  • Providing an asset register of fixtures fittings & equipment 

  • Creation of asset maintenance plan/procedure
